Integrating RingByName with your Apps using Zapier! Zoho, Microsoft Teams, Front, Salesforce and More!
Many business have asked how they can take the information inside of RingByName and integrate it with their current CRM, Accounting System, Helpdesk, email client, and a variety of other applications with which they would like to work or automate some level of their work. Now, using Zapier, it is possible to connect RingbyName with your favorite apps, such as Gmail, Slack, MailChimp, and over 1000 more. You can connect two or more apps to automate and move info between your web apps automatically, so you can focus on your most important work. It's easy enough that anyone can build their own app workflows with just a few clicks.

How to get Started with RingByName on Zapier
To start using RingByName with Zapier, Once you've logged in, you can use the text box to tell the Zapier AI exactly what you want your Zap to do. You'll need to be specific and name the applications involved. We'll give you an example below.
We used the prompt "Gmail email Notification for each Missed Call from RingByName"
Zapier AI generated a good template for our automation needs (our zap). Next we'll select 'Try it'. You can select it even if the AI results aren't 100% accurate as we can edit it further soon.
Now in the Zap editor, we'll be able to verify our selected Apps, Triggers, and associated accounts.
Here we'll select our App. We're starting with Ringbyname.
Next we'll select the trigger (the event that will automatically lead to an action). We selected 'New Missed Call'.
Then we tap 'account'. Here we should then see a pop-up window asking us to log-in and authorize the connection between RingByName and Zapier.
After logging in you will be sent back to your zap where you now have RingByName connected to your RingByName user. Next we'll tap 'Continue'.
We'll now verify our selected Apps, Actions, and associated accounts.
Here we'll select our other App. We're choosing Gmail.
Next we'll select the action (the action we want happening based on an event). We selected 'Send Email'.
Then we tap 'account'. Here we should then see a pop-up window asking us to log-in and authorize the connection between Gmail and Zapier. You'll see a similar login section for your 3rd party application. Once we login to the Gmail account we want to send emails from, we tap 'Continue' at the bottom.
Now here comes the data! Most app actions will have several fields you can use with data from the other app's triggers.
It's important to fill out all the required fields marked with an asterisk for the Zap to work properly.
In the 'body' for our example you can see we added our own text for the emails. After this, we'll click the '+' icon for any fields that we want to populate with data from our trigger app (Ringbyname)
Now in the next screenshot you can see we configured the body to show the client's name, then the time of the call, then the callback number from the data pulled with Zapier.
Then we'll select 'Continue' and 'Test Step' to see our zap in action! If the test goes well, we can then publish our zap to make it permanent and active!
Additionally between the two apps we can tap that '+' to add rules like 'Filter' or 'Format' or 'Delay' for more specific automation options.

Integrating Using Predefined Templates

Common Problems
I'm getting a "Test Unsuccessful" message stating I have no calls.
When creating a zap, you must have at least one phone call logged in your call records in order for the Zap to be connected properly. To resolve this issue, complete a telephone call using your RingByName account, then perform the integration test again.
I'm getting a "Test Unsuccessful" message stating I have no voicemails.
When creating a zap, you must have at least one voicemail in your call records in order for the Zap to be connected properly. To resolve this issue, complete a telephone call and leave a voicemail on your RingByName account, then perform the integration test again.
I'm getting a "Test Unsuccessful" message stating I have no faxes.
When creating a zap, you must have at least one fax in your call records in order for the Zap to be connected properly. To resolve this issue, complete a successful send or receive of a fax using your RingByName
account, then perform the integration test again. If this does not resolve the issue, verify that fax service is enabled and available on your RingByName account.
