Ringbyname Active Directory - See your team members updated in real time!

RingByName Active Directory is here!

Ringbyname now has an active directory through the Yealink and Polycom phone models we provide. The feature is an on-demand free addition to your Ringbyname account! Contact us at 855-345-7464 or by email at support@ringbyname.com to have it enabled for use! The directory will be loaded as 'R! Directory' with each user on your account. Any updates to the user's name or extension will be updated on reboot! Each member of your staff has a user set up specifically for them. These users can all be updated at the user level and the administrative levels. Admins can customize all users from their panel for swift staff updating. Individual users can update their own names from their web app. 





Where can I find the Active Directory? 


Once you've reached out to the RingByName team to have it added to your account, the active directory is available on both Yealink and Polycom phones by pressing their DIR/Directory softkeys. Then for Yealink models, select the contact group 'Ringbyname' using the same softkey and for Polycom phones select 'Contact Directory' followed by 'Ringbyname'. Here you'll see the full list of updated users representing your team members and their extensions. If you go through the menu system to directory, you can see 'local directory' the directory for your local phone's contacts, remote phone book the directory showing all your coworker's extensions, and blacklist a directory you can add numbers to to block them. 




How do I update my Active Directory entry as a user?


All users can update their own name whenever needed. Ask an administrator if you need to update your extension.

-Log in to your RingByName account at login.ringbyname.com
-Once logged in, click on the words 'Hi <your name>' at the top right of the screen. A drop down menu should appear.
-Select the option "My Profile"
-Select the option 'Edit' on the center right. 
-Here you can update your first and last name. 
-Be sure to select save at the bottom.
-Once a phone is rebooted, its directory will update with these changes. 





How do I update the Active Directory entry as an admin?

You must be an Admin user to change or update the other users extensions or names settings within your account.

-Log in to your RingByName account at login.ringbyname.com
-Once logged in, click on the words 'Hi <your name>' at the top right of the screen. A drop down menu should appear.
-Select the option 'Go To System Administration'
-Select 'RingByName Setup' at the top.
-Select 'Users' on the left hand side. 
-Any user who's name or extension needs to be updated can be updated on the right. 
-Be sure to select save at the bottom (or hit your enter key as a shortcut!)
  -Once a phone is rebooted, its directory will update with these changes.
   





How do I add to the Active Directory? 


To add new users to your active directory you need to add them to your Ringbyname account. Reach out to our Service team (855-345-7464) and we'll help you add new members to join your business team!

I updated/added a user. Why isn't my directory updating?


The directory updates occur whenever the phone is rebooted. Be sure to power down and power back up your phone for the latest contact/directory information.

If you don't have any users in your directory or your directory isn't updating, reach out to our support team so we can be sure your phone is in our Ringbyname database. This will ensure your phone gets the latest team members and their extensions for contacting ease. 




What if I want my own custom Directory? 

  
Custom directories can be added too! We recommend using a different group than your Ringbyname Directory group and will provide steps belo w for you.  

On Yealink Models:
-Press the 'Dir' softkey, then press the 'Add Group' softkey.
-Name your group appropriately 'Clients', 'Insurance Contacts', etc. 
-Press the 'Add' softkey, your group is now created!
-Using the arrows, highlight and select your new group with the 'OK' key.
-Press the 'Add' softkey, and give your new contact a name
-Use the down arrow key to highlight the 'office number' field.
-Give your new contact a contact number. 
-Press the 'add' softkey to add the contact
Now you have a contact added to your new custom directory!







On Polycom Models, simply add the contact to your contact directory following these steps: 
-Press the Home Key. then select the 'directory' option using the 'OK' key in the center of the arrow keys. 
-Select the 'contact directory' option.
-Press the 'Add' softkey, and give your new contact a name
-Use the down arrow key to highlight the 'office number' field.
-Give your new contact a contact number.
-Press the 'save' softkey to add the contact
Now you have a contact added to your new custom directory!
