How do I Listen to or delete and clear my Voicemail Messages? I have a lot!

While you can dial into voicemail to delete messages one by one, there is also a 'delete all' option for user and department voicemail boxes. We'll go over each option below. 



Listen and Delete From your Ringbyname OX Dashboard: 
Once you've logged in at http://login.ringbyname.com , select the 'recent calls' icon. 


Here under the 'Voicemail' tab you'll be able to see all your direct and department voicemails. You can use the play button to listen and the blue share button to share voicemails. The trash can lets you delete any direct voicemails and the green phone will act as a speed dial and call that client back on your devices. 

Remember, you can only delete your direct voicemails here, any department voicemails can't be deleted since other agents in the department may want to address those messages. We recommend using the 'unreturned call report' if you want team members to return department calls efficiently and avoid any repeat callbacks. 




Listen and Delete by dialing into voicemail from your extension:
First, the standard way to listen or delete messages one by one is done from any of the office desk phones or softphones.  It's done by dialing *97, your extension when prompted, followed by your pin (default value is 1234). From here, while listening to messages you can tap '7' to delete the current message. You can also listen and delete department voicemails if you have the mailbox and pin for the department. If your phone system has a menu in place you can also call from your cell phone and dial *97 so long as you have the mailbox and pin you want to access. 


Listen to your voicemails from your email:
The email you use to login is the same email that receives direct and department copies of any voicemail messages you receive. You can listen and download these voicemail messages directly from your email!


Delete All user or department voicemails from the Admin Section:
All messages for both users and departments can be wiped at once using the 'delete all voicemails' option following these steps as an Admin: 
-Log in to your RingByName account at login.ringbyname.com
-Click on the top right text that reads "Hi, <your name>"
A drop down menu should appear.
-Click on "Go To System Administration"
-Click on "Ringbyname Setup" at the top
-Click on Users or Departments on the left hand side. 
-Select the user or department you want to clear the voicemail box of. 
-Here at the bottom right, you'll see a red 'Delete All Voicemails' button. Tap it and confirm to clear all voicemails. 
You may need to contact an administrator for your account to have them perform this voicemail clearing.
