Integrate Hubspot CRM with Ringbyname Enhanced Integration! Make and Log Calls and SMS!
There are a few different ways to integrate your Hubspot CRM with your Ringbyname account. We now offer directly through Hubspot the means of integrating your calls logs and SMS messages from Ringbyname to Hubspot! There are also 3rd party options like Zapier, as well as our unique Chrome Extension "Click2Call" that can be used to quickly have contacts in your Hubspot account contacted through your Ringbyname Phone system!
How can I integrate Hubspot CRM with Ringbyname?
If you already have a Hubspot account and want the full integration, visit the install link. Install URL: Click Here to Auto-Install Ringbyname's Hubspot Integration! Remember, in Hubspot, everything is based on contact ownership in relation to your user. So if you see/think something is not appearing in Hubspot, login into the user you integrated from your Ringbyname OX dashboard and be sure the contact your looking for has your user set as owner. This Hubspot integration is so all contact updates, edits are done through Hubspot.
The link will have you log into your Hubspot account if you haven't already. It will then prompt you to connect it to your Ringbyname account by having you also log in to your Ringbyname account.
Once you've logged into both, you've officially synced your Hubspot account with your Ringbyname account.
Where can I see these integrations features?
Once you've logged in, you'll be able to see all the contacts owned by your user in Ringbyname, added to the contacts section of Hubspot along with all the new integrated features.
To find your integrated features from your Hubspot dashboard highlight the left-sidebar select CRM, then select Contacts.
Here select any contact to view its integrated data as well as the new integrated features. We selected Thomas in our example.
Once selected, you'll have access to all of the integrated features including Quick Calling Contacts from Hubspot Dashboard, seeing logged call and SMS updates in a contact's activity, sending SMS messages, and contact syncing. We'll go over each of them.
First, Quick Calling contacts from your Hubspot dashboard is simple. You can select the call option on the top-left of a contact. When selected, a call popup will appear and send the call to all of the active devices tied to your Ringbyname user. Hubspot itself doesn't have a built-in phone tool, so you'll need a deskphone or a Ringbyname Mobile or Desktop softphone active to use this feature.
Once the call connects, the popup will update to an active call showing the duration and provide a field for notes. Be sure to hit save when your finished writing any call notes. These notes will appear in the contact's page under 'Activities' in the center of the screen.
The next integration features is the logging of calls and SMS. You'll be able to see logged call and SMS updates in a contact's details in the center of the page.
Clicking on that activity lets you add details to that call entry. You can selected if it was an answered call, a missed call, busy, voicemail, wrong number, and if it was inbound or outbound.
You can see SMS details like the numbers involved, the message, and delivery status in the contact's page under 'Overview' in the center of the screen. You can update who was actually contacted or change the time/date timestamp for the SMS entry in its details.
The next integration feature is sending SMS messages. To send SMS messages go to the contact you want to send an SMS message to. Then on the bottom right-hand-side of the screen select Send SMS.
This feature will prompt you to login to your Ringbyname account the first time you use it.
Once you've logged in, the conversation list will be shown. You can either select the conversation from the list or select 'Write New SMS' to send a new message.
In the send SMS popup you'll be able to type in your desired message and select any SMS enabled phone number on your account. Tap Send SMS to send the message or clear to delete any text in your message box.
Once you've hit send the conversation populates and new messages can be sent. Like on a mobile device, your messages are on the right, and the other party's messages are on the left.
The last integration is the Sync Contacts option. Now normally this Hubspot integration is so agents can remain in their Hubspot environment and forego updating and creating contacts in the Ringbyname platform. In the event you've imported or created new contacts in Ringbyname that would need their call data logged in Hubspot you can use the Sync Contacts option to add any new contacts in Ringbyname owned by your integrated user over to the Hubspot platform. You can also logout of the user who's contacts you want synchronized. These buttons can be found on the bottom right-hand-side area of any of your contacts in Hubspot.
None of my Ringbyname contacts appear in Hubspot!
The only contacts that get integrated are the ones 'created' by the user you integrate with Hubspot. Be sure your logged in with the user you want to integrate contacts from. You can check which user created a contact in Ringbyname by logging in and selecting the contact on the left-hand-side of your Ringbyname dashboard. It appears below their contact info. In our screenshot we'd want to login with the user 'Tim Cern Fwd' to integrate this and Tim's many other contacts to Hubspot!
What exactly overall gets integrated?
All inbound and outbound SMS messages are logged in hubspot and Ringbyname, where sending messages in one, updates messages in the other. All notes added to outbound call records in hubspot are shared in Ringbyname. All outbound calls are logged in hubspot and Ringbyname. Inbound calls are not logged but they can be manually logged in hubspot if needed using the 'log a call' feature under Activities > Calls. The Call option in Hubspot for each contact will start a call with the Ringbyname phone devices you have enabled on your Ringbyname user and that contact. The Hubspot 'Send SMS' options logs any SMS sent or received in Ringbyname as well.
Hubspot isn't showing any of my calls, notes, or text activity!
The only data that gets integrated belongs to the contacts in Hubspot that are synced to your Ringbyname system. Try Tapping the 'Sync Contacts' option on the bottom-right section of any active contact page your viewing. Once you've tapped sync contacts, try another call or text and the data should populate accurately.
Hubspot keeps asking me to login to Ringbyname when I try to call a client from the contact page.
This happens when the Hubspot account your logged into isn't the same as the Ringbyname account your logged into. The two need to be the accounts you integrated together. If call attempts keep appearing this way please verify your logging into the correct Ringbyname account or reach out to our support team for assistance.
