RingByName Custom Calendar For Year Round Holiday Routing and Greetings is Here!
It's the holiday season 🎅 and you need to update your clients who are still calling in during your business' off time. Ringbyname has you covered! RingByName now offers a Custom Calendar that can be used to set any day, any time, any year to route to your designated holiday message, response team, or voicemail box.
Where Is Custom Calendar?
To access the new Custom Calendar area, click
on “Hi Your Name” at the top-right corner of the screen.
Select "Go to System Administration" from the drop-down list.
Click on "RingByName Setup" or “Main Setup” on the navigation bar along the top of the screen.
On the left side, you will see “Custom Calendar” section. Click on it to view your custom calendar dates. You can see the nickname of your custom schedule, the start and end time, whether its all day, and how often it repeats!

How Do I use the Custom Calendar?
Before we get started with using the custom calendar, it's best to create a menu or endpoint where you'll send your calls. In our example here we're going to create a menu where we'll send our calls this Christmas and upload our own custom message.
Select "Menus" on the left hand side, then click 'Add Menu' on the top right of the menu page. While it doesn't have to be a menu, they have the most flexibility in letting you craft a message, and decide where calls are going to go.
Here we'll detail the destination for our holiday, and any greetings or messages we want clients to hear.

Once you've built your holiday or special event menu, tap save at the bottom-right to save it.
Now we can create a year-round calendar event for our new Christmas menu. Let's click back on 'Custom Calendar' on the left hand side. Next we'll tap 'New'.
On the right hand side we'll have all the fields we can customize for our holiday routing! There's the name field, where we'll add a name for the holiday or special event.
Next we'll select whether it's an all day schedule or if it should end/start at a specific time. Be sure to select your proper timezone and if your event is going to repeat!

You can have it repeat every day, week, month, year, or use the 'custom' option to control more specific dates.

Once you've decided on the time and date you can select which phone numbers will use this holiday routing. Both company numbers and direct numbers can be used and you can search by number, type, or by the company line ID or caller ID. If you manage multiple businesses from your account, you can have them share calendar routing or use their own unique endpoints.

Lastly, we'll select where we're going to send calls to. You can send them to menus, departments, users, or custom voicemail boxes. You can scroll through the list of options or type in the endpoint your searching for. We've built a Christmas Menu for this holiday event, so we searched for 'christmas'. Then we clicked 'Save' to save our new calendar routing!

Advanced Uses
Now you can see one of the use cases for Custom Calendar, but there are many others that are perfect to set it and forget it! You can dedicate a custom announcement that plays with special sales or offers every month in the greeting. If you use Call Queuing you can customize the hold music for the entire year to match with the season or holiday. Do you have afterhours agents who rotate every week? You can create a calendar event for weekend calls or evening calls to go to "Afterhours Department Dave" and another event every 2 weeks to go to "Afterhours Department Rose". There are endless options to both simplify your phone system for your business and route important calls while sharing well wishes to your clients.
