RingByName Calendar Is Here! Create, Share, And Keep Track Of Events With Ease!

RingByName's Calendar gives users an easy way to create and keep track of meetings, calls, reminders, and other events directly from the RingByName platform. Events can be private to you, private to you and select teammates, publicly shared with your company, or sent to outside attendees by email.

The Calendar also provides several different views, filters, reminders, repeating events, attachments, and event invitations to help keep your schedule organized.

Where can I find the RingByName Calendar?

Log in to your RingByName account at login.ringbyname.com and select the Calendar icon from the navigation menu located along the top of the screen.

The Calendar will open to the current week and show your Personal events by default.


From the main Calendar screen you can:

  • Switch between Personal and Company calendars
  • View your calendar by day, week, month view, or agenda view.
  • Search for events by name
  • Jump directly to another date by selecting it on the calendar screen.
  • Use the arrow buttons to cycle forward and backward between days.
  • Click 'Today' to see the current day of calendar events. 
  • Filter events by category
  • Expand the calendar to use more of the available webpage
  • Create a new event

The Personal calendar displays events belonging to you or ones you were privately invited to. The Company calendar includes public, company-visible events along with your private events.

The Month view provides a quick overview of events throughout the month. 


While Agenda displays events as a chronological list. Agenda can be especially useful when reviewing events that extend beyond the current month.


You can also use the Search events field to quickly locate an event.


Clicking one of the categories on the left side of the Calendar will filter the calendar to that category. The available categories are currently Meeting, Lunch, Call, and Reminder. Each is color coded.


For additional viewing space, use the Expand arrows located near the upper-right corner of the Calendar.




How do I create a new Calendar event?

Click New Event, or click directly on an available date or time on the Calendar.

A Title, Start Date/Time, and End Date/Time are required. The remaining event options are optional.


When creating an event you can add:

  • A description
  • RingByName users, contacts, or outside email addresses as attendees
  • A physical location
  • A meeting link
  • A specific time range or an All Day event
  • A category (Meeting, Lunch, Call, Reminder)
  • Visibility settings (Private or Company Public)
  • Repeating schedules (Daily, Weekly, Monthly, Annually, Custom)
  • One or more reminders (5 mins, 15 mins, 30 mins, 1 hour, 1 day)
  • File attachments (Any file type)

If an event overlaps with another event already on your calendar, RingByName will display a warning before the event is created.


The Visibility option determines whether other users can see the event. Selecting Private keeps the event hidden from other users on the Company Calendar.


Can Calendar events repeat?

Yes. Events can repeat Daily, Weekly, Monthly, Annually, Every Weekday, or according to a Custom schedule.

Custom repeating events allow you to choose how often the event repeats, which days it occurs, and when the repeating schedule ends. The event can repeat indefinitely, until a selected date, or for a specific number of occurrences.



How do Calendar reminders work?

You can add multiple reminders to an event, such as 5 minutes before15 minutes before, 30 minutes before, 1 hour before, or 1 day before.

RingByName reminders are sent to you by email and can also appear inside the RingByName application. If you are away from the application when the reminder occurs, it can still appear when you return.

Invited attendees receive a standard calendar invitation and ICS calendar file. Their own email or calendar application will handle any attendee-side calendar reminders according to their settings.

Can I attach files to an event?

Yes. Files can be attached while creating the event.

Attachments are available through the Calendar event and are also sent by email to invited email attendees. Only users invited to the event can access the event's attachments from RingByName.

Keep normal email attachment limitations in mind when sending larger files. Many email providers limit attachments to approximately 25 MB, so larger files may not be delivered. 

What does an invited attendee receive?

When an attendee with an email address is added to an event, RingByName sends an email invitation containing the event information.

The invitation can include the event title, category, description, date and time, repeating schedule, location, meeting link, and attachments.

The recipient can also Accept, Tentatively Accept, or Decline the invitation. The host will also get notifications on every recipient's response to adjust the events accordingly.





Can I create a Calendar event from a RingByName Contact?

Yes! If a RingByName Contact has an email address saved to their contact record, you can select the contact and use the New Calendar Event option.

RingByName will automatically add that contact's email address to the attendee list, saving you from having to enter their information again. You can then complete the remaining event information normally and send the invitation.





Help! I can't see the calendar! 

If you haven't logged out of your account in a while you'll need to do so to see the new calendar feature. Click on your name on the top-right of your Ringbyname account. In the submenu select 'Logout'. Log back into your account using your email and password to see the 'Calendar' section on your Ringbyname dashboard!


RingByName will automatically add that contact's email address to the attendee list, saving you from having to enter their information again. You can then complete the remaining event information normally and send the invitation.
