How to Set Up Business Hours (Hours of Operation) in RingByName

Overview

Business Hours (also called Hours of Operation) allow you to control how calls to your phone number are handled based on the time of day. During open hours, calls can ring your staff or departments, and after hours, calls can route to voicemail, menus, or other destinations.

This article walks you through the exact steps to configure Business Hours for a phone number in the RingByName portal.


Before You Begin

  • You must have admin credentials for the RingByName portal

  • Know your desired business hours (days and times)

  • Know where calls should route after hours


Step-by-Step Instructions

Step 1: Log in to the RingByName Portal

  1. Go to login.ringbyname.com on your browser.

  2. Log in using your administrator credentials.

  3. Once on the home page, locate the top-right corner where it says Hi, (Your Name).

  4. Click on your name to open the drop-down menu.



Step 2: Go to System Administrator

  1. From the drop-down menu, click Go to System Administrator.


Step 3: Open RingByName Setup

  1. In the System Administrator view, locate the top navigation bar.

  2. Click on RingByName Setup.


Step 4: Navigate to Phone Numbers

  1. In the left-hand menu under the Setup section, click Phone Numbers.”

Note: Hours of Operation can also be configured under Departments if special routing is required. The configuration process is exactly the same as shown below for phone numbers.



Step 5: Select the Phone Number

  1. Click on the phone number you want to configure.

  2. A configuration panel will appear on the right side of the screen.




Step 6: Enable Custom Business Hours

  1. Locate the section labeled When should we send calls to this phone number?

  2. By default, Send calls 24 hours per day is selected.

  3. Change this selection to Use these hours for this phone number.

    • This will display the Business Hours configuration options.



Step 7: Set Customer Hours

  1. Click Set Customer Hours.



Step 8: Select the Day to Edit

  1. Click on the Hours of Operation for the day you want to change.



Step 9: Adjust the Hours

  1. Click the clock icon to modify the opening and closing times.

  2. Once the correct hours are set, click Set to save.

Notes:

  • To close the business for a day, click the square icon in the top-right of the pop-up window.

  • To apply the same hours to multiple days, select Copy to all days at the bottom of the pop-up.



Step 10: Configure After-Hours Call Routing

  1. After saving your business hours, locate the section labeled Send the after hours calls to:

  2. Click the drop-down menu.



Step 11: Select the After-Hours Destination

Choose where calls should go when your business is closed:

  • Menu

  • Department

  • User

  • Voicemail Box



Step 12: Save the Configuration

  1. Scroll to the bottom of the page.

  2. Click Save to fully apply the changes to the phone number.



Recommended Testing

After completing setup:

  • Call the phone number during business hours to confirm the correct routing

  • Call again after hours to confirm calls route to the selected destination
